Author Guidelines

Guidelines for author of Smart Medical Journal

1. General

1. Smart Medical Journal publishes manuscripts in English in basic medical sciences, clinical medical sciences, public health, and medical education. Accepted article types are listed in Types of Manuscript.
2. Manuscripts must be original, not previously published, and not under consideration by another journal.
3. Manuscripts are submitted online at https://jurnal.uns.ac.id/SMedJour after registering as an author. Submissions by email are not accepted.
4. By submitting, authors agree to the journal's policies on publication ethics, AI use, authorship, conflict of interest, plagiarism, and data availability.

2. Files to submit

1. Main manuscript ( Download Original Research  Download Case Report Template): prepared with the journal template in Microsoft Word format, with author names, affiliations, and any other identifying information removed for double-blind review.
2. Title page and cover letter (Download Title Page and Cover Letter Template  ): prepared with the Title Page template. It contains the title, full author details (names, affiliations, emails, ORCID iDs), the corresponding author, the full declaration statements, at least three suggested reviewers from at least two countries, and a cover letter signed by the corresponding author.
3. Ethical clearance document for research involving human participants or animals, and the patient's consent form for case reports (supplementary file).
4. Other supporting files (supplementary files), such as raw data, questionnaires, the completed reporting guideline checklist, or proof of English editing.

3. Format

• Paper size A4, with 3 cm margins on all sides.
• Main text in Times New Roman 11 pt, 1.15 line spacing, justified, with the first line of each paragraph indented 1.25 cm.
• Title in Times New Roman 18 pt, bold.
• Abstract in Times New Roman 10 pt, italic, single spacing.
• Section headings (INTRODUCTION, METHODS, RESULTS, DISCUSSION, CONCLUSION, the declarations, and REFERENCES) in Times New Roman 12 pt, bold, capital letters. Subheadings in 11 pt bold, sentence case.
• Use italics, not underlining, for emphasis, for scientific names of organisms (e.g., Moringa oleifera), and for words in languages other than English.
• Use SI units. Avoid abbreviations in the title and abstract, except widely known ones such as DNA or HIV. In the main text, define each abbreviation at its first use.

4. Title, authors, and affiliations

1. The title is concise, specific, and informative, ideally no more than 20 words, and reflects the main finding or subject of the study. Include the study location only when the findings are specific to that location.
2. Author names are written in full, without academic degrees, titles, or positions. Family names are not abbreviated. Authors with a single name enter it in both the given-name and family-name fields when submitting in OJS.
3. Affiliations are written in full, not abbreviated, as: Department, Faculty, Institution, City, Country. Superscript numbers refer to institutions, not to authors; if all authors share one affiliation, no numbers are needed. The corresponding author is marked with an asterisk (*) and his or her email address is given.
4. Enter all authors in the submission metadata in OJS, in the same order as on the title page.
5. In the blinded main manuscript, leave the author and affiliation lines blank. The editorial office inserts them from the title page at layout.

5. Abstract and keywords

1. The abstract has no more than 250 words and is structured as: Introduction (background, research gap, and aim), Methods (design, setting, participants, main measurements, and analysis), Results (main findings with key figures), and Conclusion (main conclusion and its implication). Case reports and reviews may use an unstructured abstract.
2. The abstract contains no references, figures, or tables.
3. Give 3–5 keywords or key phrases, separated by semicolons, preferably taken from Medical Subject Headings (MeSH), that reflect the main concepts of the article.

6. Main text

Original research articles are organized as follows.

1. Introduction: background; a summary of recent, relevant studies (state of the art); the research gap and the novelty of the study; and, at the end, a clear statement of the aim.
2. Methods: study design; setting and period; participants, sample size, and sampling; variables, instruments, and measurements; statistical analysis, including the software and significance level; and research ethics. State the name of the ethics committee and the approval number and year, and how informed consent was obtained. For low-risk studies without formal ethical approval, include a statement of compliance with research ethics, which is assessed by the editors and reviewers.
3. Results: the findings in logical order, using tables and figures without repeating the same data in the text.
4. Discussion: interpretation of the main findings, critical comparison with relevant and recent studies, the strengths and limitations of the study, and its implications.
5. Conclusion: one paragraph that answers the aim of the study, without new discussion or references.

Case reports use Introduction, Case Presentation, Discussion, and Conclusion. Systematic reviews add a Methods section describing the search, selection, and appraisal. All reviews include a section presenting the authors' own critical analysis.

Follow the reporting guideline that fits the study design: CONSORT for randomized trials, STROBE for observational studies, STARD for diagnostic accuracy studies, PRISMA 2020 for systematic reviews, CARE for case reports, and ARRIVE for animal studies.

7. Declarations

Place the following statements after the Conclusion and before the References, in this order. Give them in full on the title page. In the blinded manuscript, write "Details removed for blind review" under Acknowledgements, Author Contributions, and Funding.

1. Acknowledgements: people or institutions who contributed but do not meet the authorship criteria, with their permission.
2. Author Contributions: each author's role, using CRediT terms (see Authorship and Contributorship).
3. Funding: the funder and grant number, or "This research received no external funding."
4. Conflict of Interest: e.g., "The authors declare no conflict of interest."
5. Declaration of AI Use: whether AI tools were used and, if so, which tool, for what purpose, and in which sections (see AI Policy).
6. Data Availability Statement: where and how the data can be accessed (see Data Availability Policy).

8. Tables and figures

1. Number tables and figures consecutively in the order in which they are cited. Every table and figure must be cited and explained in the text.
2. Place table titles above the table and figure titles below the figure, centered.
3. Tables must be editable, not pasted as images. Use horizontal lines only, and explain abbreviations and symbols below the table.
4. Figures must have a resolution of at least 300 dpi. Authors may be asked to send figures as separate JPG, PNG, or TIFF files.
5. Report exact p values (e.g., p = 0.032; p < 0.001) and, where relevant, effect sizes with 95% confidence intervals.

9. Citations and references (Vancouver style)

1. Cite references in the text with superscript Arabic numerals placed before the full stop or comma, for example: "…during pregnancy¹." or "…in earlier studies²,⁴⁻⁶." When an author is named, the number follows the name, for example: "Halpern et al.³ reported…". Do not use author–year citations.
2. Number references in the order in which they are first cited. A source cited again keeps its original number.
3. Every citation in the text must appear in the reference list, and every item in the reference list must be cited in the text.
4. Original articles should have at least 15 references; reviews usually need more. At least 80% of the references should be primary sources (journal articles, conference proceedings, theses, and research monographs), and at least 80% should have been published within the last 10 years. Do not cite sources second-hand ("X in Y").
5. Use reference management software, such as Mendeley, Zotero, or EndNote, with the Vancouver style. Abbreviate journal titles as in the NLM Catalog, and include the DOI whenever available.

10. After acceptance

1. A Letter of Acceptance is issued only after the manuscript has been accepted. The article processing charge is then invoiced (see Author Fees).
2. The corresponding author checks the page proof and returns corrections within three working days. Only typographical errors may be corrected at this stage.
3. Articles are published under the Creative Commons Attribution 4.0 International License (CC BY 4.0), and authors retain copyright (see Copyright Notice).

Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.

1. The submission has not been previously published, nor is it before another journal for consideration (or an explanation has been provided in Comments to the Editor).
2. The main manuscript is prepared with the journal template in Microsoft Word format, and all author names, affiliations, and other identifying information have been removed for double-blind review.
3. The text uses Times New Roman 11 pt with 1.15 line spacing; the abstract has no more than 250 words; and 3–5 keywords are given.
4. Tables and figures are placed within the text at the appropriate points, numbered in the order in which they are cited, and figures have a resolution of at least 300 dpi.
5. References follow the Vancouver style and are numbered in the order of citation; there are at least 15 references; every reference is cited in the text and every citation is in the reference list; and DOIs are included where available.
6. The manuscript includes the declarations: Acknowledgements, Author Contributions, Funding, Conflict of Interest, Declaration of AI Use, and Data Availability Statement.
7. For research involving humans or animals, the Methods state the ethics committee, approval number, and year, and the ethical clearance document is uploaded as a supplementary file. For case reports, the patient's written consent for publication has been obtained.
8. The title page and the signed cover letter, including at least three suggested reviewers from at least two countries, are uploaded as one supplementary file.
9. All authors meet the authorship criteria, have approved the submission, and are entered in the submission metadata in the correct order.

The names and email addresses entered in this journal site will be used exclusively for the stated purposes of this journal and will not be made available for any other purpose or to any other party.

Author Fees

This journal charges the following author fees.

Article Publication: 500000.00 (IDR)

Smart Medical Journal charges no fees for submission, peer review, or reading articles. All articles are free to read.

Article Processing Charge (APC): IDR 500,000 per accepted article. The APC is charged only after a manuscript has been accepted. It covers copyediting, layout, DOI registration, and online hosting. There are no other charges, such as page charges, color figure charges, or fast-track fees.

Waivers. Authors who are unable to pay may request a full or partial waiver at submission by explaining their circumstances in the cover letter. Waiver requests do not affect editorial decisions.

Language editing. Authors may use any English editing service of their choice. The journal does not require or recommend a particular paid provider, and any such cost is borne by the authors.
